A Bid Room is the workspace for one bid response. It holds the buyer’s files, the extracted requirements, your team’s drafts, Emma’s work plan and the final package you upload to the portal. The Bid Room page in the sidebar lists every response your organization is working on. Most Bid Rooms start from a tender you qualified in the Pipeline with Create response. You can also create one directly from buyer files with New Bid Room. See Create a Bid Room. Until you have one, the page shows No Active Bids Yet.

Stages

The stage changes only when someone sets it. You can change it:
  • from Status on the room’s Overview tab;
  • by dragging a card on the board;
  • with Set Stage after selecting rooms in the list;
  • by asking Emma.

The list view

The list shows each Bid Room with its name, status, created date, deadline, estimated value and assignee. Use the row menu to:
  • Edit: opens the Bid Room.
  • Archive: hides the room from active work. You can include archived rooms again on the board.
  • Delete: removes the room.
You can select several rooms to archive or delete them together.

The board view

The board groups Bid Rooms into one column per stage. Drag a card to another column to change its stage. To switch between the list and the board, open Display and choose List or Board. In the board view, Display also lets you adjust the board, for example to Include archived rooms, show Only overdue bids, or choose what each card shows. Overdue bids are marked Overdue, so you can spot responses that have slipped past their deadline.

Inside a Bid Room

Each room has these tabs:
  • Overview: status, assignees, dates, Emma’s deliverables, activity and comments. See Work overview.
  • Requirements: everything the buyer asks for, extracted from their documents. See Requirements.
  • Documents: buyer files, working files, your response files and the final package. See Documents and editor.
The header also has View Opportunity (when the room is linked to a notice), Share, and More options → Add to Calendar for the submission deadline.

Ask Emma

Emma can read your Bid Rooms and update them. Changing a status is something she does only when you ask.
