A bid usually needs several people: a bid lead, subject experts, someone for pricing, and a director to sign off. This recipe shows how to run that team in one Bid Room, with Emma as a member who takes tasks and reports progress. Everyone sees the same files, activity, and open questions.

Who it’s for

Bid leads coordinating colleagues, partners, or subcontractors on a single response.

Before you start

Steps

1

Assign the team

On the Bid Room Overview tab, click Add assignees and select collaborators. Assigned colleagues are notified in their Inbox.
2

Ask Emma to split the work and suggest owners

3

Discuss in comments

In the Overview comments, type @ to mention a colleague. They get a notification and can reply in the thread.
4

Hand tasks to Emma from a comment

Type @Emma and the request. Emma starts working, and her progress appears in the activity feed.

Comment

5

Review documents together

In the document workbench, add comments to a page or range. Use Address with AI to send a comment thread to Emma, then Resolve it when done.
6

Watch for Needs input

When Emma needs a decision, the question shows in the activity feed. Click it to open the conversation on that question and answer it.
7

Share with people outside your workspace

Click Share, enter their email, and choose Viewer or Editor. You can share the whole Bid Room or a single document. Guests see only what you share and cannot use the chat.
8

Use Slack for quick check-ins

Mention Emma in a channel she has joined, or send her a direct message. She replies in a thread.

9

Move the Bid Room through its stages

Move the Bid Room through its stages, such as In Progress, Blocked, and Submitted, so the board in Bid Room shows where every bid stands.

What Emma does and what you decide

Emma: proposes a work breakdown, picks up tasks from @Emma comments, addresses review comments, asks questions where a decision is needed, and answers status questions in chat or Slack. You: assign owners, decide who gets access and at what level, answer Emma’s questions, and approve the final response. Emma does not change who has access.

Tips

Who can do what. Owners, admins, and editors can manage bid work. Viewers have read-only access and cannot use Emma. Bid Room guests get Viewer or Editor access to what you share only. See Roles and permissions.
  • In Slack, Emma only answers members of your Reyda workspace, matched by email. She does not answer guests or users in externally shared channels.
  • Approve Access requests from the Share dialog when someone asks to join a Bid Room.
  • Keep decisions in comments rather than private messages, so the record stays with the bid.
