Buyers often require their own forms: a pricing schedule in Excel, a supplier questionnaire in PDF, or an ESPD-style self-declaration. ESPD is the European Single Procurement Document, a standard form where you declare that you meet exclusion and selection criteria. Emma fills these forms in the buyer’s format from your profile and library. You check every entry, set the prices, and sign.

Who it’s for

Anyone who spends hours copying company details, turnover figures, and certificate numbers into buyer forms.

Before you start

  • The forms are in the Bid Room. If they are missing, upload them on the Overview tab with Upload document.
  • Your company profile has registration and VAT numbers, address, financials, and certifications.
  • Your Library holds the supporting documents, such as insurance certificates and accounts.
Check the form can be filled in Reyda. Encrypted PDFs, XFA forms and signed PDFs can’t be filled here, and spreadsheets that contain images can’t be saved after editing. For those, ask Emma for the answers as a list and complete the form in the buyer’s own tool.

Steps

1

Open the form

Open the Bid Room’s Documents tab and open the form in the document workbench. Check it is the latest version the buyer published.
2

Ask Emma to fill it from your evidence

3

Give Emma the pricing inputs

For a pricing schedule, give Emma the inputs and keep the price decision with you.

4

Review the new version

Open Version history, click Compare, and check each Field updated or Cell updated entry against its before and after values. If something is wrong, click Restore on the earlier version. Restoring creates a new version, so nothing is lost.
5

Correct fields yourself where needed

For PDFs, use the Text and Checkbox tools to add or move entries. For spreadsheets, edit the cell directly.
6

Answer Emma's questions

If a field needs a decision she cannot make from evidence, she asks you with a Needs input card.
7

Sign and date the form

Sign and date the form using your normal signing process, then add it to your submission. Click Download to get the file.

What Emma does and what you decide

Emma: finds each field, matches it to evidence in your profile and library, fills it in the buyer’s format, saves a new version, and tells you what she left blank and why. You: set every price, make legal declarations, check each value, and sign. Attestations and signatures belong to people authorized to make them. Emma does not sign or declare on your behalf.

Tips

Keep your standard answers in snippets. Insurance levels, accreditation numbers, and policy summaries come up in almost every form. Save them as snippets so Emma and your team use the same wording each time.
  • Ask Emma to cross-check figures across forms: “Does the turnover in the questionnaire match the financial statement we are attaching?”
  • Keep certification expiry dates current in your profile. Emma can only spot an expired certificate if the date is recorded.
  • If a form is long, ask Emma to fill one section at a time so your review stays manageable.
