Every bid you have written holds answers worth reusing. This recipe turns old submissions into a searchable Library, reusable snippets, and templates. Emma searches all of them when she drafts, so new bids start from your best material instead of a blank page.

Who it’s for

Teams with a folder of past submissions that nobody has time to mine. Also useful when a new colleague needs your standard answers.

Before you start

  • Collect past submissions, ideally ones that scored well. Feedback letters are useful too.
  • Decide who approves standard wording. Snippets are shared across your organization.
  • Library files are visible to everyone in your organization. Mark confidential files as sensitive when you upload them, so only owners and admins can read them.

Steps

1

Go to Library, click Add New, then Upload File

Upload past submissions as PDF, Word, Excel, PowerPoint, or text. Give each a clear title and type, and add tags such as sector, buyer type, or year.
2

Ask Emma to find the reusable parts

Library pages offer starters such as Summarize documents and Tag documents.

3

Review Emma's proposals

Ask her to create the ones you approve.

4

Create snippets yourself when you spot good text

In the Library, click Add New and Create Snippet. From any open document you can also ask Emma to Save selection as snippet.
5

Build a template from your strongest response

Upload it on the Templates tab, or open a working document in the editor and choose Save as template. Use Edit template to adjust the name, description, and section structure.
6

Use them on the next bid

In chat, attach a snippet or template, or type @ and pick one. In the editor, use Select from templates to start a document from a saved structure.

What Emma does and what you decide

Emma: reads your past bids, spots repeated and strong answers, proposes and creates snippets and templates when asked, tags documents, and searches all of it when drafting new responses. You: decide which wording becomes standard, remove confidential client details, keep snippets current, and choose which documents belong in the Library at all.

Tips

Date-stamp facts that change. Staff numbers, turnover, and certification dates go stale. Put them in a few clearly titled snippets and update them once a year, rather than hiding them inside long answers.
  • Keep one topic per snippet. If you keep several lengths of the same answer, put the length in the title so Emma and your team pick the right one.
  • What Emma reuses is what you save to the Library, snippets, templates, and your profile.
  • Record past contracts under Settings → Experience too. They improve matching as well as drafting. See Past projects.
