Tender invitations, buyer questions, and portal newsletters often arrive by email. Emma has her own address for your company, so you can forward these to her or subscribe her to tender alerts. She reads each email and its attachments and acts according to your rules. You control who can reach her and whether she can send email.

Who it’s for

Teams that receive direct invitations to tender, or subscribe to portal newsletters that Reyda does not cover.

Before you start

  • An owner or admin sets up the mailbox in Settings → Mailbox. Other members can use the Mailbox page but cannot change its settings.
  • You do not need to connect your own inbox. You forward mail to Emma.

Steps

1

Set up the address

In Settings → Mailbox, choose the company name for the address and click Set up Emma’s email. The address cannot be changed later yet, so pick carefully.
2

Decide who can reach Emma

Choose Accept emails from anyone except blocked senders or Accept emails only from allowed senders. Add addresses or domains to the allow or block lists. Emma will not act on email from blocked senders.
3

Decide how Emma sends

Choose Ask me each time to approve every email, or Emma can send to let her send when a task or instruction allows it.
4

Add rules

Rules run in order. Match on sender address, sender domain, subject, or category, then choose Analyze, Notify only, or Ignore. Optionally fill in What counts as a fit, for example “IT support contracts in Germany”.
5

Copy the address from Mailbox with Copy address

Forward a tender invitation to it, or use it to subscribe to a portal’s tender newsletter.
6

Watch it arrive in Received

Open a message to view attachments, then click Ask Emma to continue the work in chat.

Ask Emma

7

Approve or decline outgoing mail

Anything Emma wants to send appears under Waiting for your approval in Mailbox and in chat. Read and edit the email, then Approve or Decline.

What Emma does and what you decide

Emma: receives forwarded mail and attachments, sorts it by your rules, analyzes opportunities, and continues the work in a linked conversation. You: decide who can email her, set the rules, and approve sending. Changes that widen what Emma accepts, allow her to send without asking, or turn processing off need explicit approval.

Tips

Start strict. Begin with Ask me each time for sending and a short allow list. Relax the settings once you are comfortable with how Emma handles your mail.
  • Messages that colleagues in your workspace send directly to Emma skip the sorting rules, so you can always reach her.
  • Each analyzed email is AI work and uses credits. Use Ignore rules for newsletters you do not need analyzed.
