# Library

> Upload your company documents to the Library so Emma can use them as evidence when she qualifies tenders and drafts responses.

The **Library** is your company's knowledge base: past bids, CVs, case studies, policies, certificates and method statements. Everything in it, except documents marked as sensitive, is available to everyone in your organization, and Emma uses it as her main source of facts about your company. The better your library, the less Emma has to ask and the less she has to mark as "needs evidence".

> [!TIP]
>
> **Onboard Emma like a new bid manager.** A new hire does their best work once they've read your past bids, know your
> standard answers and can see what you've delivered. Emma is the same. A little time setting up the Library,
> [Snippets](https://reyda.mintlify.site/knowledge/snippets.md), [Templates](https://reyda.mintlify.site/knowledge/templates.md) and [Past projects](https://reyda.mintlify.site/knowledge/past-projects.md)
> pays off on every bid after.

Open **Library** from the sidebar, under **Knowledge**. It has the tabs **Files**, **Snippets** and **Templates**.

> [card] Files
>
> Documents you upload: PDFs, Word, Excel, PowerPoint, text files and images.

> [card] Snippets

> Reusable text blocks. See [Snippets](https://reyda.mintlify.site/knowledge/snippets.md).

> [card] Templates
>
> Proposal structures and response forms. See [Templates](https://reyda.mintlify.site/knowledge/templates.md).

## Upload files

**1. On the **Files** tab, click **Add New**, then **Upload File****

**2. Drag files into the dialog or click to browse**

You can upload several files at a time. Supported: PDF, Word, Excel, PowerPoint, text files and PNG or JPEG images. See [Limits](https://reyda.mintlify.site/reference/limits.md) for file size and upload limits.

**3. Check the document details**

Under **Document Details**, check the **Title** and pick or create a **Document Type**, such as "Case study" or "CV". If the file is confidential, mark it as sensitive. See [Sensitive documents](#sensitive-documents).

**4. Click **Upload****

Reyda processes the file so it can be searched.

## Organize and find files

* **Search** library files from the search box.
* **Filter** by **Type**, **Library tags** and **Kind** (file format).
* **Tag** files with **Add tags** and **Remove tags**. The number of tags per file is limited. See [Limits](https://reyda.mintlify.site/reference/limits.md). Tags such as "ISO 27001", "Public sector" or "2025 bids" help you and Emma find the right evidence.
* **View** or **Open in viewer** to read a file, **Download**, or select several files and **Download as ZIP**.
* **Delete** files you no longer want Emma to use. Deletion can't be undone.

> [!NOTE]
>
> A file that is attached as evidence to an open compliance item can't be deleted yet. Reyda tells
> you so when you try.

## Sensitive documents

Library files are visible to everyone in your organization unless you mark them as sensitive. For confidential files, such as financial statements or HR records, mark the document as sensitive when you upload it. Only owners and admins can read sensitive documents, and Emma follows the same rule for the person she is working for. See [Roles and permissions](https://reyda.mintlify.site/account/roles-and-permissions.md).

## How Emma uses the library

When Emma needs evidence, for example a reference project for a quality question, she searches the library. She cites what she used, so you can open the source and check it. If she can't find evidence, she says so instead of inventing a claim.

You can also point her at specific documents: in the chat, attach **Library documents** or type **@** and pick a library item.

Files in connected accounts, such as SharePoint, Google Drive and Notion, are not copied into the library. Emma reads them live when you ask. See [Connect SharePoint, Google Drive and Notion](https://reyda.mintlify.site/integrations/sharepoint-google-drive-notion.md).

> [!TIP]
>
> **What to upload first.** Start with your most recent winning bids, your standard company overview, certificates (ISO,
> insurance), CVs of key staff, and a few case studies with numbers. That covers most
> selection and quality questions.

## Ask Emma

On the Library page, Emma's suggested starters include **Create a snippet**, **Improve templates**, **Tag documents** and **Summarize documents**. She can tag files and create new Markdown documents in the library. She can't delete your files.

Ask Emma

Tag all case studies in the library by sector and add a "public sector" tag where the client was a
public body.

Ask Emma

Summarize our three most recent bids in the library: buyer, scope, value and the main win themes.

Ask Emma

Which evidence in our library supports an ISO 27001 requirement? List the documents and the
relevant pages.
