# Documents and editor

> Browse Bid Room files, fill PDF and Excel forms, edit working documents, review Emma's changes, compare versions and comment.

The **Documents** tab holds every file in the Bid Room: the buyer's package, your team's working notes and the response files you will submit. Files open in the document workbench, where you and Emma edit, comment and keep a full version history.

## How files are organized

Files sit in folders. A folder appears once it has something in it.

* **Notice documents**: the buyer's files. These are protected, so the originals never change.
* **Working files**: internal material such as the response plan, research and win strategy. Not for the buyer.
* **Response**: the buyer-facing files you will submit, such as completed forms, pricing schedules and written answers.

Search, sort and filter the files, and switch between list and grid view. Click a file to open it in the workbench. Several files can be open at once as tabs.

> [!NOTE]
>
> To add files, use **Upload document** on the [Overview](https://reyda.mintlify.site/bid-room/work-overview.md) tab. If you can
> edit or export, a **Final package** bar sits above the file list. See [Final
> package](https://reyda.mintlify.site/bid-room/final-package.md).

## Work on a buyer file

Buyer files are read-only, so you work on a copy.

**1. Open the buyer file**

Open the buyer file, for example a PDF declaration or an Excel pricing schedule.

**2. Click **Edit in Response****

Reyda creates an editable copy in the **Response** folder and keeps the original file name.

**3. Make your changes in the copy**

Each save creates a new version.

## Fill a PDF form

In an editable PDF, use the form tools:

* **Text** adds a text field. **Checkbox** adds a tick box. Set the **Font size** for text.
* Select a field to **Move**, **Resize** or **Remove** it.

Some PDFs cannot be edited safely: encrypted PDFs, XFA forms, and signed or certified PDFs. Reyda tells you when this is the case. Fill those outside Reyda, or ask Emma to prepare the answers for you to copy in.

> [!WARNING]
>
> **Signatures stay with you.** Emma never signs or attests on your behalf. Declarations and signatures need an authorized person
> at your company.

## Spreadsheets, Word files and reports

* **Spreadsheets** (XLSX, XLS, CSV) open in a grid. You can't save a workbook that contains images here.
* **Word** files, **HTML reports** and Emma's other outputs open as previews.
* **Working documents** (Markdown) open in a rich editor. See below.

Use **Download** or **Open original** to get the file. Where translation is available, **Translate document** shows the file in another language. Click **Original** to switch back.

## Version history

Open **Version history** to see every saved version, with **Latest** at the top.

* **Compare** shows what changed between two versions, with **Before** and **After** values.
* **Restore** creates a new version from an older one. Later versions stay in history, so nothing is lost.

## Work in progress from Emma

While Emma is drafting a file, **Work in progress** shows her intermediate drafts, numbered **Draft 1**, **Draft 2** and so on. If a draft is heading the wrong way, click **Continue from here** and tell her what to keep or change. Your instruction applies to that exact draft.

When Emma finishes, the file shows a review state. Read anything not marked **Approved** before you rely on it.

## Comments

Open **Comments** to discuss a file. Comments attach to a page, a page range or a cell range.

* **Reply** to continue a thread and **Resolve** it when done.
* **Address with AI** sends the whole thread to Emma. She reads the discussion and the quoted text, revises the file and saves a new version for you to review.

## Edit a working document

Working documents open in a rich editor with headings, lists, tables, images, links and comments.

**Slash commands.** Type **/** to insert a block, such as a heading, list or image. Two commands call Emma:

* **Create draft proposal with AI** drafts a full proposal.
* **Draft this section with AI** writes content for the section you are in.

**Selection actions.** Select text and click **Comment**:

* **Human comment** starts a discussion for your colleagues.
* **Instruct AI** sends an instruction to Emma about the selected text only. Type what to change and click **Send to agent**. This instruction is not added to the human discussion.

**Review Emma's changes.** Her edits appear as tracked changes. Step through them with **Previous change** and **Next change**. **Accept** or **Reject** each one, or use **Accept all** / **Reject all**.

**Templates.** Use **Select from templates** to start from a structure from this tender, your library or a saved template. Use **Save as template** to reuse a structure later.

## Citations

When Emma writes from evidence, her text carries citation markers. Hover a marker to preview the source, or open **Sources** to see the evidence list. If the cited text has changed since she wrote it, the citation shows **Needs review**. Files you export contain no citation markers. See [Sources and citations](https://reyda.mintlify.site/emma/sources-and-citations.md).

## Ask Emma

Ask Emma

Fill in the pricing schedule in the Response folder using the day rates from our 2025 framework
bid. Leave any cell you're unsure about empty and list it for me.

Ask Emma

Tighten section 2 of the method statement to 500 words and keep every claim cited.

Ask Emma

Compare version 3 and version 5 of the technical response and summarise what changed.
