# Routines

> Give Emma standing instructions that run on a schedule or when something happens, and choose where the results arrive.

A routine is a standing instruction Emma carries out on her own, for example "every Monday, summarise what changed in our pipeline". Each run is a full Emma task. The result is saved in the routine's conversation and, if you choose, also sent to Slack.

Open **Routines** in the sidebar to see and manage them.

## Create a routine

You can create a routine on the Routines page or ask Emma to set one up.

> [tab] On the Routines page
>
> **1. Open **Routines** and click **New routine****
>
> **2. Enter a **Name****
>
> Enter a **Name**, for example "Weekly pipeline summary".
>
> **3. Under **When it runs**, choose a trigger**
>
> * **On a schedule**: pick **Every few hours**, **Every day**, **Every weekday** or **On certain days**, then set the **Time**. The preview shows "This runs: …" so you can check it.
> * **When something happens**: under **What it watches**, pick the source, such as your notifications or Slack messages. Optionally narrow it with **Only for one item** or **Only in one area**.
>
> **4. Write the instruction in **What it does****
>
> In **What it does**, write the instruction Emma should follow each time. Be specific about what to look at and what to report.
>
> **5. Under **Delivery method**, choose **In chat** or **Slack****
>
> For Slack, pick **DM me** or a public channel.
>
> **6. Set an end date or number of runs (optional)**
>
> Optionally open **More options** to set an **End date** or a **Number of runs (optional)**.
>
> **7. Click **Create routine****

> [tab] By asking Emma
>
> Describe what you want in the chat. Emma proposes the routine as a **Create routine** card with the schedule, first run and any limits. Nothing is created until you click **Confirm**. Click **Open Routines** to see it in the list.
>
> Ask Emma
>
> Every weekday at 8:00, check our Pursue items in the Pipeline for deadline changes or new
> clarification answers, and DM me in Slack only if something changed.
>
> Emma can also propose updates or deletions to existing routines, again as cards you confirm.

> [!TIP]
>
> **Write instructions that can stay quiet.** Tell Emma what counts as worth reporting. If nothing changed, she keeps the run short instead of
> sending you an empty update.

## Delivery

Results are always saved in the routine's conversation (**In chat**, the default). With **Slack**, they also go to **DM me** or a public channel where the Reyda app is a member. An admin must connect Slack first. If it isn't connected, the form links to **Open integrations**. See [Slack](https://reyda.mintlify.site/integrations/slack.md). Microsoft Teams and email are [coming soon](https://reyda.mintlify.site/integrations/overview.md#coming-soon).

If Slack delivery fails, the result is still in the routine's conversation. Reyda doesn't resend automatically when delivery can't be confirmed, to avoid duplicates, so check Slack first.

## Manage routines

Search the list by name or instruction, or filter it by **Status**.

| Status | What it means |
| - | - |
| **Next run** and a date | Active and waiting for its next scheduled run. A routine that watches for something shows **Active** instead. |
| **Running** | A run is in progress. |
| **Needs input** | The last run is waiting for your answer. See [When a run needs you](#when-a-run-needs-you). |
| **Failed** | The last run failed. Check its summary in **View run history**. |
| **Paused** | Turned off, by you or because it reached its end date or number of runs. |
| **Completed** | Emma finished the job the routine was set up for. Turn it back on to run it again. |

* Use the toggle to pause or enable a routine.
* **Run now** starts a run immediately.
* **Edit** changes the name, prompt, trigger or delivery.
* **Delete** stops all future runs. This can't be undone.
* **View run history** lists each run with a summary and its status. Click **Open chat** to see Emma's full work. A run marked **Skipped** didn't start, for example because the previous run was still going.

## When a run needs you

A routine run follows the same rules as any Emma task. If she needs a decision or an approval, the run pauses with **Needs input**. Open the run's chat, answer, and she continues from where she stopped.

## Limits and permissions

* **Routines run with their creator's permissions.** If the creator loses edit access, Reyda pauses the routine. Owners, admins and editors can create routines; viewers can't.
* **Every run uses credits,** like any other Emma task. See [Plans and credits](https://reyda.mintlify.site/account/plans-and-credits.md).
* **Your organization can have a set number of routines.** If you reach the limit, delete one to make room. See [Limits](https://reyda.mintlify.site/reference/limits.md).
* **Very frequent schedules aren't allowed.** The form offers hourly and daily options. For a custom schedule, ask Emma.

> [!NOTE]
>
> **The opportunity briefing.** Reyda sets up one routine for you: the **Opportunity briefing**. You can change its schedule or
> pause it, but Reyda manages its job. See [Opportunity briefing](https://reyda.mintlify.site/automation/opportunity-briefing.md).

## More examples

Ask Emma

Every Friday at 16:00, list Bid Rooms with a deadline in the next 14 days, their status and any
deliverables still waiting for review.

Ask Emma

When I get a notification about a new comment in a Bid Room I'm assigned to, summarise the thread
and suggest a reply.
